Files in System - View/Cleanup

Allows you to view information about the files in your "Files in System" folder. When you bring a tile into the DNE it either links to a file saved externally or copies the file to the "Files in System" folder. This utility allows you to view and update the status of files in the "Files in System" folder. The utility tracks the number of times each file has been accessed by the DNE, and whether or not a tile currently exists to which each file is affiliated.

A tile is a database object that includes a link to a file plus DNE-specific data like fields, NE links, presence in configurations, etc. If you delete a tile from inside the DNE environment, you delete all of the DNE-specific data, but you do not delete the source file itself. This is a safety feature, because the file may be used for several different purposes. For instance, you may have several subdocuments from the same file.

button - files in system view-cleanup checks your Files in System folder to determine whether or not each of those files is linked to an existing tile. If a file is not linked to any currently existing tile, you can safely delete the file. However, a file not linked to an existing tile is still linked to at least one tile that existed in the past. If you delete a file that is linked to a past tile, you will not find the file when you search for it in the past.

 

How to clean up Files in System:

1.Click button - files in system view-cleanup
2.The files in your Files in System folder will be displayed. Files with a detailed tile scroller - tick are used in the DNE (there is one or more tiles affiliated with the file); files marked with an detailed tile scroller - X are not be used in the DNE (there are no tiles affiliated with the file).
oMark the files that you want to delete with an detailed tile scroller - X
oMark the files that you do not want to delete with an detailed tile scroller - tick
3.Click utilities - delete unused files.

 

i_blue The only folder that is checked is Files in System, which is where your files go when you choose to copy files to the DNE instead of linking to files stored outside the DNE.
