For most solutions, "managing information" means managing files. But sometimes a piece of information is smaller than a file and sometimes it's larger. The DNE Desktop let you manage whatever counts as a piece of information for you, regardless of whether that piece of information is one file, part of a file (subdocument), or a collection of different files (configuration). Where saved desktops and saved cabinet and spill configurations let you manage multiple objects together as a unit, subdocumenting lets you save a snippet from a file as an independent piece of information. You can even give your subdocuments different names from the full file, making it easy to go right to any section of any document.
A subdocument can be a sentence or paragraph in a document, a set of cells in a spreadsheet, a slide in a slide show, etc. The DNE Desktop supports subdocumenting for these applications:
| • | Microsoft® Word: |
| • | Microsoft® Excel: |
| • | Microsoft® PowerPoint®: |
| • | Microsoft® Visio®: |
The DNE Desktop supports two kinds of subdocuments: subdocuments and snapshots.
| • | A subdocument is essentially a bookmark within the original file. The big difference between a subdocument tile and a regular bookmark is that the subdocument is managed in the DNE Desktop exactly as though it were a file, so it can be attached to any NE regardless of the location of the source file, and it can be accessed directly without first opening the source file. This makes it is easy to make sure a subdocument doesn't "slip through the cracks". Subdocuments are not copies of the source file but rather they access the source file directly, so subdocuments can be a good way to manage your working files. |
| • | A snapshot is exactly the same as a subdocument, except that snapshots also take a screen capture of whatever is on the Microsoft Word/Excel/PowerPoint or Visio screen, and use that screen capture as a thumbnail. |
Subdocuments are DNE Desktop objects and cannot be accessed outside the DNE environment (DNE, DNE Desktop, DNE Maps). However, if you create a subdocument, the source file remains accessible in all the normal ways.
The full DNE also supports multimedia (image, audio and video) subdocumenting. Multimedia subdocuments cannot be created in the DNE Desktop, but they can be played in the DNE Desktop. That is, if you use both the DNE and the DNE Desktop, then any multimedia subdocument tile you created in the DNE can also be played and used in the DNE Desktop.
